Setting Up A Phone Book

To send out an Audio-gram or a Fax-gram to multiple parties, it is required that you access the phone book feature, so that you will have a list of numbers to which you can send your pre-recorded message or fax.

Just call your Universal Office Number, press * (star) and select Option 8 from the service menu. At the next menu, select Option 1. This will take you to the menu for working with Phone Books. To create a new Phone Book, select Option 4 from this menu. Genie will give you a brief explanation of the "single feature" phone book. She will then ask if you want to set up a phone book with other Universal Office numbers, or one with outside numbers. You will also be asked to record a name for the phone book.

Once the Phone Book is created, you can work with it, to add and remove numbers and names. From the same menu you used to create the Phone Book, you can ask to work with it, using Option 1, 2 or 3. Option 1 lets you work with your "Main" phone book, which was created for you when your account was activated. Option 2, let’s you pick a Phone Book by number. Option 3 let’s you pick a phone book from a list that Genie will read to you.

Single Feature Phone Books

The Phone Book is a unique innovation of the Universal Office. As a Universal Office Customer you can set up your personal Phone Books with your Universal Telephone Number. Each Phone Book can be used to store a group of speed dial numbers (one to five digits, for easy dialing), names and telephone numbers, fax machine numbers, pager numbers, or other Universal Telephone Numbers.

You can use your Phone Books to do any number of things, such as broadcasting an important message, fax or pager message. With a single call, you can distribute voice or fax messages to hundreds of recipients. Voice messages go out as Audio-Grams, so you can use the full range of Audio-Gram features.

Small organizations can use the Phone Book to reach a far wider audience than they could hope to do with expensive, time-consuming individual calls. Large organizations can use the Phone Book to stay in touch with their agents or customers locally, nationwide or anywhere in the world.

Within an organization, large or small, the Phone Book can reduce costs dramatically. If a Phone Book contains the Universal Telephone Numbers of a thousand independent distributors, you can send a message to all of them in minutes, with no out-calling charges to you. Each of the recipients pays only for their own message notification, if they have notifications turned on.   

Full Feature Phone Books

Once you’re familiar with the concept of a Phone Book, Full Feature Phone Books let you take it one big step further.

Each simple, Single Feature Phone Book, which you can set up so quickly that you almost won’t realize you’ve done it, only keeps one type of number. (Pagers, faxes, or whatever you choose.)

When you change a Single Feature Phone Book to a Full Feature Phone Book, on the other hand, you can use it to store any supported type of number, in whatever combination you want. You can even use a Full Feature Phone Book to refer to other Phone Books! The Full Feature Phone Book gives you the power and flexibility to send mass messages in as complex a pattern as you would like.   

To Create a New Phone Book  (through the phone)

1. Access your Genie
2. Press 8 for the Option Menu
3. Press 1 to Use Phone Book (Phone Book Menu)
4. Press 4 to Create Phone Book
5. Select Phone Book Type

Press 1 for On-System Phone Book (other Genie numbers)

Press 2 for Off-System Phone Book (outside phone numbers)

6. Record a Name for new Phone Book
7. Genie will issue Phone Book Number
8. Genie will take to back to the Phone Book Menu
9. You MUST modify the new Phone Book to add numbers

To Modify a PhoneBook          (through the phone)

1. Access your Genie
2. Press 8 for the Option Menu
3. Press 1 to Use Phone Book (Phone Book Menu)
4. Select Phone Book To Modify

Press 1 to select MAIN PhoneBook (02)

Press 2 to select a specific Phone Book

Enter Phone Book number

Press 3 to select from a list of Phone Books

Genie will list all your Phone Books

Press 1 to select a Phone Book or Press 2 to list next Phone Book

Follow prompts to add, delete or edit Phone Book numbers.
