The on-line Universal DeskTop is its own entity, capable of being accessed from anywhere in the world. Here is a condensed Menu of the Services offered by The Universal Office, and summaries of each service. For additional questions, please review this website in detail -- especially the features section. You can also send questions to customer support at mediaventures@mediaone.net. A Communications Platform for Growing Organizations
A growing sales force needs accurate and
timely distribution of information. You can give your organization
the power to communicate from anywhere at anytime with the Universal
Office!
The Universal Office is the most
complete messaging platform available today. It combines all voice,
E-mail, fax, paging and wireless services through one platform that
has 1-800 service available everywhere and local area code line
access in over 200 cities nationwide.
The Universal Office with the virtual
secretary 'Genie' telephone services allows independent small
businesses and professional establishments to have the same
enhanced telephone features as Fortune 500 companies without the large up-front investment in equipment and software.
Easy To Use and Easy
To Learn
Genie is designed to be easy to
understand and use. The user is given simple voice prompts while
learning to operate Genie. There is an automated help service to
provide assistance as well as a fax-on-demand library.
Flexible Services
Genie far exceeds the capabilities of
voice mail, enabling its customers to share up to the minute
information with callers, broadcast messages to people outside the
local system, answer callers directly, make low-cost telephone calls
from anywhere in the world, schedule calls to be placed when the
customer is not at his
office and much more. Genie allows its customers to expand their service package according to their needs, without "upgrade" fees, lending great flexibility to the system. New features and functions are regularly added and made available to customers without additional fees.
Universal Telephone
Number
Customers streamline their
communications. They no longer have to give their callers separate
telephone numbers for office, fax, pager, home, and cellular
telephone. Customers of Genie integrate all of these services into
a single telephone number instead. With Genie, a caller needs only
one telephone number to reach a user, leave a message, send a fax,
or have a page forwarded to the users' office, home, car, or any
other location at any time. The customer controls when and where he may be reached by callers and these selections can be changed at any time from any touch tone telephone.
Universal Mailbox
The Universal Mailbox performs all
common voice mail functions plus many communication features not
offered by regular voice mail. The Universal Mailbox is the core of
the Genie's services, and is one of today’s most powerful
communication tools. It can record up to a 10 minute out-going
recorded message.
The Personal
Assistant
Included in the service is a
professional attendant, that performs the services of a Personal
Assistant, called Genie. The Personal Assistant or Genie, undertakes
the endless work of answering calls, taking messages, accepting
faxes or pages, finding the user when it is important, placing
calls, delivering messages, and numerous other functions -- 24
hours a day, seven days a week.
The Virtual Merchant
The Virtual Merchant will take orders
and process payments by telephone 24 hours a day, seven days a week,
365 days a year. Payments can be made by credit card without the
requirement to be a credit card merchant yourself. Genie handles
transactions quickly
and completely in an efficient and user-friendly environment.
Call Transfer and
Call Screening
For important calls, or if the user
travels a lot on the job, he or she can choose to have Genie
transfer calls to any phone they designate. Calls can be transferred
immediately to their phone, or they can ask Genie to screen all
calls. Call screening allows the user to hear who is calling before
the user takes the call. The user can accept the call or ask Genie
to take a message. This is an attractive feature for people who
rely on
cellular phones.
Follow Me Service
Because of constant travel and
increased work at home, work is not a place you go to, but something
you do. Follow-Me helps make this possible. With Follow-Me callers
can be transferred to users wherever they are.
Follow-Me allows users to program Genie
to retain their three most common telephone numbers (for example,
home, office and cellular). When a caller asks to speak with a
user, Genie will try to connect the call to each of the three
numbers, in the order specified.
Follow-Me telephone numbers can be
changed from any touch-tone telephone, anytime. Users can also turn
the Follow-Me Service on or off.
Fax-Mail Services
Fax-Mail lets the user receive faxes
twenty-four hours a day, even if the user does not have a fax
machine. The user can pick up the faxes any place a fax machine is
available, whether in home, office, local copy store or at a hotel.
Users can receive their faxes in
privacy, at their convenience. With FaxMail they no longer have
important documents sitting in the fax bin at the office for all to
see. FaxMail also provides a unique feature that invites the sender
to record their name and a short message describing what the fax is
about. This allows the user to decide the urgency of receiving the
document now, saving it for later or simply screening out unwanted
faxes.
Paging Service
With most pagers, if the battery is out
of power, or the pager is turned off or if users are out of range,
they will never know that someone paged them. With Genie, if the
user is out of range, out of power or the pager is simply not
working, the user is not out of touch. When a user is paged, Genie
will ask for and retain the caller's name and telephone number. If
for some reason the user does not get the page, the party's name and
telephone number will still be saved as a voicemail message. The
user can even return the call without hanging up by simply pressing
the star key (*) and Genie will place the
return call automatically. This feature is particularly handy when using a pay telephone or a cellular phone to return calls.
Even more, Genie is unique in that a
user can request to be paged only between certain hours. All pages
received at other times will be saved as a voice mail message. If
the page is an emergency Genie will attach 911 to the page and let
the user know that the page was marked urgent.
Message Notification
To return calls or deal with messages
the user must first know that he has a message. With Genie, the user
doesn't need to keep calling in to check for his messages. This can
be costly, time consuming and inconvenient. Genie will automatically
let a user know if he has a message, a fax or if he has been paged.
Genie has three ways of notifying a user
that a message has arrived.
When someone calls, Genie will ask who
is calling and then put the caller on hold. While the caller is
listening to music, Genie will let the user know the caller's name.
If the user wishes to take the call then, he presses 1; if the user wishes Genie to take a message, then he presses 2; to transfer this call to another Universal Mailbox, he presses 3; or if the user is not there and some one else answers the phone, he presses 4. (When 4 is pressed Genie will try again at the next Follow-Me telephone number).
Genie will call to notify the user at
one of three pre-selected telephone numbers to let the user know
when a message has arrived. Genie will ask if the user would like to
listen to messages. The user will have the option to save, delete or
forward this message to someone else.
If the caller entered his telephone
number for a return call, Genie will automatically place the return
call immediately, or place any other call to respond to the message.
Genie will also call the user if someone sent a fax and even play a
short description of the fax so that the user can decide when to
retrieve it.
Conference Calling
Conference calls can be arranged without
the assistance or cost of a conference operator. Using the Universal
Office, conference calls do not have to be pre-booked and the number
of people "attending" does not have to be prearranged as is the case
using conference calling features of major telephone companies. To
make a conference call, participants simply dial the host's
Universal Office and press the "Conference Room" extension to be
connected. The number of participants is virtually unlimited and
they may enter or leave at anytime. The entire conference call can
be recorded
and forwarded to someone who was unable to attend by using the Record-A-Call feature.
Email Services
Voice-mail and faxes can now be sent by
email.
A subscriber simply provides their email address and all faxes received will be sent, at no charge, to their email as a tiff image.
Voice Message can also be forward to
email attached as a .wav file, at no charge.
PhoneBook
PhoneBook allow users to create groups
of frequently used telephone, fax or Universal Mailbox numbers, and
then send messages to those groups. Users can create catalogs of
various classifications or divisions of customers or associates and
send them all a group message. For example, a sales manager might
create a
PhoneBook of all his regional sales people and send them all an AudioGram reminding them of the quarterly sales meeting. A realtor might create a PhoneBook of people looking for three-bedroom houses, and broadcast a FaxOGram (complete with picture, of course) when a nice property becomes available.
Sending Messages,
Audio-Gram & Fax-O-Gram
Genie lets the user send a message or a
fax even at times when they can't be there in person. For example,
if the user wishes to copy another Universal Mailbox holder
with a message or a fax received, the user can simply listen to a message, wait for the prompt, "to forward this message (or fax)" and simply follow the instructions.
The users can also send a message to
anyone whether or not they have a Universal Mailbox. This service is
called the Audio-Gram and is one of the unique features
of Genie. Users can record and send an Audio-Gram immediately or schedule it to be sent at a future date and time. When Genie delivers the Audio-Gram she will ask for the individual for whom the AudioGram is intended, deliver the message and ask if they would like to reply. To reply to an Audio-Gram the recipient simply is asked to press *1, and then record their response. Genie will retain their response as a voicemail message. For example, a user might create an Audio-Gram announcing that a wedding tomorrow has been moved to another location due to rain. The user records the message once and then sends it out to every party guest. The guests have the option to respond to the Audio-Gram to verify that they will be there.
The Fax-O-Gram works very similarly to
the Audio-Gram with the exception that users are sending a fax
instead of a recorded message. Fax-O-Grams come in handy when making
a scheduled announcement (for example, a Press Release) or having to
deal with timely responses for those occasions when a user will not
be available to send a fax on their own.
Placing and Receiving
Telephone Calls
Most people think of voice-mail systems
as fancy answering machines, from which they get messages, write
them down, and then make separate calls to get in touch with the
caller. And that's all simplistic voice-mail systems are. Genie goes
far beyond those elementary systems, by allowing users to not only
receive calls, but answer calls and make calls much more
effectively, from any touch tone telephone in the world.
Genie's extensive telephone service
gives users the combined advantage of both lower rates and
convenience. Usual telephone service falls into two main
categories, placing calls and receiving calls. Genie takes this
several steps further by combining placing and receiving calls.
Receiving telephone calls include
inbound telephone calls such as Call Transfer, Follow-Me, FaxMail,
800, 877 or 888 Toll-Free Service, and Notifications. Anytime Genie
transfers a call to the user it is considered as receiving a call.
Placing telephone calls includes all
outbound calls such as: making or returning a call, sending an
Audio-Gram, sending a Fax-O-Gram, broadcasting messages or faxes
from your PhoneBook. Anytime Genie makes an outbound call on the user's behalf it is considered as making a call.
Returning Calls
Genie provides users with the ability to
return calls automatically when someone leaves a message. Callers
enter their area code and telephone number after leaving
a message. A user just has to listen to the names and decide whose call they wish to return. They do so by simply pressing the star (*) key.
Placing Calls
Users can call around the corner or
around the world at lower rates. And for the calls made the most
often, there are two additional features to assist users.
Speed Dial
Genie lets users associate a short code
number with the numbers they call the most often. Need to reach Bob
at home? Just dial 24 (that's "BH" on the touch-tone keypad) and you
are calling Bob's house. And it's not just a time saver either. Any
one who has ever had a bad cell phone connection add or drop just
one digit out of a long phone number (and ended up talking to
someone in Vladivostok instead of across town) will quickly
recognize the benefit.
Confirmed Calls With
Response
With the PhoneBook users get
confirmation of exactly when a call is made, and get direct
feedback. Users' customers receive the message, and can tell the
user right then if they are interested. If they are, a user knows it
right away, and can call them back instantly from any touch tone
phone in the world, even if he does not have
their number with him. Genie knows their number (it's in the PhoneBook) and will place the call for the user.
One Call Access
When traveling, using a pay-telephone,
in a hotel or roaming on a cellular telephone a user can access the
Universal Mailbox by dialing the toll-free telephone number.
This is a significant savings and convenience - no more coins and no more long-distance carrier or hotel surcharges.
CallBack
Another unique feature of Genie,
CallBack lets the user place telephone calls at much lower rates
from countries where telephone service is very expensive.
If users need to provide telephone
service to family members or business associates in a country where
telephone service is expensive, users can ask Genie to call at US
rates and make all telephone calls utilizing EasyTel low rates, in
most cases at savings up to fifty percent by using CallBack. With
CallBack, users also avoid paying hotel surcharges and the usual
high long distance charges.
CallBack can be set to work immediately
or scheduled for a future date (for example before leaving on a
trip). Once a user receives a first CallBack, additional CallBacks
can be scheduled from any foreign destination. When utilizing
CallBack, Genie can ask
for users by name and extension number. So if users are in an office or a hotel, Genie can get in touch with them and deliver messages, faxes and paging information as well as make as many calls as needed at the low US rates.
Activate CallBack
Activate CallBack allows users to
receive an outside line to make calls from a hotel or a third
party's telephone. Call Back may be activated on a regular call back
number by pressing the '#' key or entering a new number. Call back can be used immediately or scheduled for a future date and time.
Record-A-Call
Traveling down the freeway at 65 mph is
not the time to pull out a pen and paper and write down directions.
Pressing **7 records your call and saves it as a voice mail. Now you
can retrieve it, AFTER you pass that 18-wheeler.
Now conference callers can record an entire conference call, and forward to other members of the company that couldn't make the call.
Travel Services
Subscribers can book airline tickets,
hotel room and rental cars all at the push of a button.
Buttonless Hold
This feature is for anyone who has ever
wanted to put someone on hold, but there was no Hold button. When
placing or receiving calls through Genie, there is a Hold as a
feature, no matter what touch tone phone is being used. When it's
time to hold that private side conversation (or just mask the sound
of an eighteen wheel truck going by), simply press the "*H" (*4) on
the touch tone pad, and the caller hears music. Press it
again, and users are talking to each other again.
Collapsing Menus
Genie has pioneered the "Collapsing
Menus" feature. With most voicemail systems, when you call in you
often have to listen to every available option, such as:
"To hear your messages, press "1". This can be time consuming and annoying -- particularly if you have selected several features.
The collapsing menu of Genie saves time
by presenting only those options needed by the customer. For
example, if the subscriber has no messages, Genie will skip the
prompt "To hear your messages, press one". Instead, it will go
straight on to the option that applies at the time of the call. This
feature is a time-saver for callers
as well. For example, if a subscriber has chosen not to accept outside telephone calls, Genie will not offer callers the option of speaking to the subscriber.
Long Distance Service
Our subscribers will enjoy one of the
lowest long distance rates anywhere. Rates as low as 4 cents a
minute anywhere in the United States including Alaska, Hawaii,
Puerto Rico, U.S. Virgin Islands and 8.9 cents per minute to Canada;
England; Scotland; Ireland; Norway; Sweden; Germany and Australia.
Low rates are also available anywhere else in the world.
Calling Card Services
Via System
Toll free users no longer need to carry
calling cards with them, they can simply dial their Toll Free
Universal Number from any phone, access the users menu and make
their telephone calls. All calls made from the system are billed at
4 cents per minute between any states in the U.S. (including Hawaii,
Alaska, and all American Territories), and 8.9 cents per minute to
Canada, most of Western Europe, and other selected international
countries.
