Voice Messaging:        Audio-Grams

 A summary of the Audio-Grams and Instructions on how to use the feature. 

Audio-Grams

The Audio-Gram lets Genie complete your calls when you can’t. Just record a message and Genie will deliver it right away or schedule it for later delivery, as you choose. And Genie attempts to deliver all Audio-Grams at least five times, once every sixty minutes.

When the Audio-Gram is delivered, you can have Genie give the recipient the opportunity to: listen to the message and hang up; record a reply to be saved as a voicemail message; or be connected back to you as the sender of the Audio-Gram. 

Genie can be very persistent in trying to deliver your important messages. If you give her an Audio-Gram to deliver, she will try up to five times to deliver that message. When she calls the number you gave her and gets a busy signal, she will wait ten minutes, and then try again. But if the number rings and no one answers, she will wait ONE HOUR, and then try again. To avoid late-night calls, be sure to ask Genie to start delivering your message at least five hours before the latest time you want her to call someone. And don’t forget about time-zone differences!

Open Audio-Grams

Don’t need the delivery verifications of a regular Audio-Gram? Then the Open Audio-Gram is for you. With the Open Audio-Gram, Genie will deliver your message (such as a simple appointment reminder) as soon as someone answers the phone at the number you gave. And, the recipient still has the choice to respond to your message, just like with a regular Audio-Gram.   

 Call Completion

When you make a telephone call through your UTN service and you get a "ring no answer" or a "busy", Genie will ask if you would like to record an Audio-Gram message for her to deliver later. Just as with a regular Audio-Gram, Genie will deliver the message wherever you ask, whenever you ask.

Desperately trying to reach that important customer to let him know you got his latest request, but you’re rushing to make that short-deadline flight? That busy signal won’t stop you dead in your tracks. Let Genie record your message and deliver it while you stop rushing and start relaxing.   

 Instructions To Send a Message

  1. Access your Genie
  2. Press 4 for Send Message Menu
  3. Select Message Type

Press 1 to send to another Genie or a Phone Book *

Press 2 to send to an outside phone Number

  1. Enter Genie number, Phone Book number or outside phonenumber
  2. Record Message
  3. Press 1 to Send

  

To Broadcast a Message

  1. Access your Genie
  2. Press 4 for the Make A Message Menu
  3. Press 1 to Send to Genie or a Phone Book*
  4. Enter Genie Number or Phone Book* (*02)
  5. Press 1 to Verify Recipient
  6. Record Message (press # to stop recording)
  7. Press 1 to send

* To send an Audio-Gram to more than one number, it is required that you utilize the Phone Books [links to section] features.

 

 Communicating with Everyone

You can enter or upload virtually unlimited telephone numbers to your phoneBooks.  Through the Universal Office DeskTop, you can upload an entire database through Microsoft Outlook or other database programs. 

What’s wonderful about the Universal Office Phone Books feature is that the people that you communicate with do not necessarily need to be Universal Office Customers for you to send them a message through the Audio-gram feature. 

Outside Forwarding

Of course you know that Genie can forward a message to any other Universal Telephone Number. But do you know that she can also forward messages to any regular telephone number as well? She can, and she can do it with your recorded comments attached, just as she would to another Universal Office Customer. Genie accomplishes this small miracle by applying the same technology that makes Audio-Grams possible.
